🖨️ Set Up Network Printer — Fast, Reliable Installation

Most issues come from the wrong driver, auto-discovery quirks, or changing IP addresses. A fixed IP (or DHCP reservation) plus a Standard TCP/IP port delivers dependable results.

🔎 1. Gather the essentials
• Printer make/model and exact driver name
• IP address (from printer screen, config page, or router’s DHCP list)
• Network: confirm the PC and printer are on the same subnet/VLAN

🌐 2. Assign a stable address
• Reserve the printer’s MAC in DHCP or set a static IP on the printer
• Note the IP and hostname for the install step

⬇️ 3. Install the correct driver package
• Download the vendor package for your model (PCL/PS as recommended)
• Prefer “Full” or “IT” package if it includes scan utilities for MFPs

➕ 4. Add the printer by IP (avoid flaky auto-discovery)
Settings > Bluetooth & devices > Printers & scanners > Add device > Add manually
• Choose Add a printer using a TCP/IP address or hostname
• Type the IP → choose Standard TCP/IP Port (not WSD) → pick your vendor driver

🧰 5. Set defaults that match the hardware
Preferences: paper size, duplex, colour/mono, staple/finisher if fitted
• Enable tray options and accessories in Device Settings so features appear for users

🧪 6. Test and name clearly
• Print a Test page and one PDF/doc from a normal app
• Rename the queue: e.g., Office-Printer-1 (Level 2, Colour, Duplex)

👥 7. Share or deploy (optional)
• For small teams, share the queue from Printer properties > Sharing
• Larger environments: deploy via your management tool or provide the driver package + IP to users

🖿 8. Scan functions on MFPs (if applicable)
• Install the vendor scan app or set Scan to Folder (SMB) using a service account with permissions
• Create a shared folder, allow NTFS + share rights, and note the path/credentials

🧱 9. Firewall and services to check
• Ensure File and Printer Sharing isn’t blocked on the PC hosting a shared queue
• Avoid guest/isolated Wi-Fi networks that block LAN devices

🧩 10. Quick fixes for common symptoms
• Prints gibberish: wrong driver (switch PCL/PS)
• Queue stuck: Pause/Resume, Cancel All Documents, restart Print Spooler service
• Random disappearing printer: switch WSD to Standard TCP/IP Port and keep the IP stable

💡 Need a hand?
If the printer still drops offline or features won’t appear, quick remote checks can sort drivers, ports, and addressing. Onsite setup available when cabling or floor moves are involved.
